Administrator

We are expanding and looking for a Administrator to join and support our team.

Every day is different but generally you will:

  • Assist with the operational administration within the project management team, including the completion of inspection reports, scheduling operational tasks and other operational administration requirements that arise on a daily basis.
  • Assist the Maintenance Project Manager with maintenance bookings and scheduling, including emailing/calling suppliers and customers.
  • Use comments and photographs from inspection technicians, that can then be used to create condition reports to be sent over to the property owner or FM company.
  • Collaborate with Sales, Design & Manufacturing in order to ensure operational needs are met, and best practice is achieved at a project level.
  • Update quotations/invoice information for projects.
  • Raise purchase orders for plant, equipment and labour as required for maintenance projects.
  • Be willing to learn and challenge yourself to improve your technical knowledge of our industry.
  • Assist the project management team with administration tasks specific to the operational needs of the business.
  • Organise, track and maintain client information in the company database

What we need from you:

Desirable

  • Experience with company file management systems
  • A background in facilities management (technical experience of building repairs)
  • Experience if detailed report writing
  • A GCSE in an IT related subject at Grade C or higher

 Essential

  • GCSE English & Meths Grade C or higher
  • Excellent communication skills, including spoken and written English, adaptable to a wide variety of audiences and styles
  • The ability to develop and maintain effective relationships with internal and external partners.
  • A good working knowledge of MS Outlook, Word, Excel, PowerPoint, Project, Teams.
  • Confident with other IT packages and keen to learn and develop with new technology
  • A positive attitude and a desire to work in a demanding yet sociable environment

Key Information

  • Hours: 30 – 37 hours per week
  • Location: Chepstow, flexible working arrangements available
  • Salary: By negotiation
  • Holidays: 28 days holiday per year, plus Bank Holidays
